Administrative Assistant (P/T) | Job Posting

Part-time: 20-25 hours/week

 

JOB DESCRIPTION

The Administrative Assistant is responsible for the timely processing of donations, responding to all incoming communications, assisting other staff to maintain smooth office operations, and making bank deposits as well as other errands as needed. The Administrative Assistant works closely with the Directors of Development, Operations, and Communication. This is an exciting opportunity to provide critical support for a national organization of anti-war veterans committed to ending the dominance of militarism in U.S. society, culture, and policy.

Staff Structure:

IVAW has a small national staff consisting of four full-time director positions and one part-time administrative assistant. The Directors of Communications Organizing, Operations, and Development work as a collective, sharing leadership and making joint decisions together. There is no Executive Director of the organization. This is a new structure that will be evaluated in early 2014 by the staff and board of directors. Our national office is located in New York City, and some staff work virtually. The Administrative Assistant is required to work in the NY office.

 

ADMINISTRATIVE ASSISTANT KEY RESPONSIBILITIES

Fundraising Support:

  • Processing incoming donations, including: inputting and updating donor information into IVAW database, preparing deposits and thank you letters, depositing donations into the appropriate bank account.

  • Maintaining accurate donation and deposit records.

  • Maintaining confidentiality of sensitive donor information.

  • Answering inquiries and questions from donors about their donations.

Office Support:

  • Checking the post office box.

  • Tracking and maintaining inventory of office supplies to maintain smooth office operations.

  • Assist leadership team on special projects as needed.

Communications Support:

  • Answering and appropriately routing all incoming communications via email and postal mail.

  • Routing press inquiries in consultation with the Communications Director during specific media events.  

CREDENTIALS

Required Qualifications:

  • Excellent written communication skills.

  • Commitment to social justice and strong belief in the vision, mission, and values of IVAW.

  • Ability to type 55 words per minute.

  • Ability to maintain high standards of ethics, integrity, and professionalism, and to handle sensitive and proprietary financial information.

  • Excellent interpersonal skills and phone manner, ability to relate to people of diverse backgrounds.

  • Excellent time management, organization, and attention to detail.

  • Ability to work collaboratively and cooperatively in a team environment.

  • Anticipatory and strategic thinker who takes a systematic approach to tasks.

  • Ability to work under pressure and meet deadlines.

  • English proficiency.

  • A minimum one year’s experience in a professional office environment.

  • Proficiency in Microsoft Office Suite, including Excel.

Desired but not necessary:

  • Experience with database software (DIA/SalsaLabs experience a plus).

  • Familiarity and experience with social justice, human rights, and/or civil rights issues and organizations.

  • Spanish or Arabic language skills.

Pay rate: $18 per hour for 20-25 hours per week.
